The Dentiza portal is a private, invitation-only site for Dentiza's dental practice clients and Dentiza staff. This page explains what it keeps, why, and how to have it removed.
What the portal keeps
- Your account: name, email address, the practice you belong to, and a hashed password if you set one.
- What you give us for your project: onboarding answers, files and links you upload, and notes you send us.
- For practices using the Front desk: calls, texts, appointments, contacts and leads are read from the practice's own GoHighLevel account and shown to that practice's team. The portal keeps only small working records next to them (who followed up on what, notes, imports).
- A log of actions taken in the portal, so we can see who changed what.
Please don't upload patient charts or clinical records. The portal isn't meant for them.
Signing in with Google
If you choose "Continue with Google", Google tells the portal your name and email address. We use them only to find your account and sign you in.
Connecting Google Ads or Meta (Dentiza staff only)
Dentiza staff can connect a Google Ads or Meta account so the portal can create ads and read their results for our clients and for Dentiza. With your permission, the portal stores an access token for that account, encrypted. It uses it only to:
- list the ad accounts and Pages the connection can open,
- create campaigns and ads that a staff member built and chose to send (they are always created switched off; a person starts them), and
- read spend, clicks and other results for those ads.
We don't use Google or Meta data for advertising profiles, we don't sell it, and we don't share it with anyone except the service providers that run the portal. Dentiza's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Disconnecting on the portal's Connections page deletes the stored token right away. You can also remove the portal's access at any time at myaccount.google.com/permissions or in Meta Business Settings.
Where it's kept and who can see it
The portal runs on Railway's cloud servers, with private file storage. Connections are encrypted, and passwords are stored only as hashes. A practice's people see only their own practice; Dentiza staff see the practices we work with.
Keeping and deleting
We keep your information while we work with you. To see it, correct it or have it deleted, email jaden.kwek@gmail.com and we'll do it within 30 days.
Changes
If this policy changes, the date at the top changes too.
